Job Scope:

Administrative Assistant/Receptionist serves visitors by greeting, welcoming, and directing them appropriately. 

Notifies company personnel of visitor arrival. Directs visitors by maintaining employee and department directories

and referencing Teams Calendar for daily expected activity. Maintain security by following procedures, monitoring logbook, and issuing visitor badges.

Duties and Responsibilities:

Provide administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Effectively communicate via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgement to plan and accomplish goals and a wide degree of creativity and latitude is expected.

Key Responsibilities:
  • Answers telephone, screen and direct calls.
  • Greet visitors as they enter the office and direct to the appropriate department or employee.
  • Handle inquiries from the public and visitors.
  • Ensure knowledge of staff movements in and out of the organization.
  • Receive, sort mail and deliveries, ensuring mail is sorted and delivered immediately to appropriate person(s).
  • Exhibits polite and professional communication via phone, email, and mail.
  • Tidy and maintain an organized and clean reception area.
  • Sustain craft services ensuring it is stocked daily for clients and ensure levels are maintained.
  • Provide administrative support to ensure efficient operation of office.
  • Carries out administrative duties such as filing, typing, copying, scanning, purchase order creation, processing invoices, maintaining office supply levels, etc.
  • Support team by performing tasks related to organization and strong communication.
  • Ensures operation of equipment by completing preventative maintenance requirements, calling for repairs, maintaining equipment inventories.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
  • Collects payments from and creates receipts for customers. Works with Marketing and Accounts Receivable Manager to ensure timely system updates of information and deposits are made daily.
  • Assists and serves as back-up to Panastore (retail sales) as needed or required.
  • Additional duties and tasks as assigned.
Skills/Experience Required:
  • Prior experience as a Receptionist/Administrative Assistant preferred.
  • Understanding and experience operating a telephone system.
  • Reporting and Administrative Writing skills.
  • Awareness of office procedures and protocols.
  • Knowledge of the office facilities, departments and local area.
  • Experience with Microsoft Suite (Outlook, Excel, Word, Teams, etc.) and Adobe Acrobat.
  • Ability to learn propriety software the organization uses.
  • Strong verbal and written communication skills.
  • Must display effective communication skills both in-person and on the telephone with customers, vendors and employees.
  • Exhibits self-initiative and motivation with the ability to work independently.
  • Ability to multi-task, prioritize work and manage time efficiently in a fast-paced environment.

Work Environment and Physical Demands:

This job operates in a professional office environment. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit for lengths of time; stand; walk; use hands and reach with hands and arms. The employee may also be required to lift product or equipment weighing up to 50 lbs.

Position Type/Expected Hours of Work:

Prompt and regular attendance is required, employees are expected to begin work at the start of their scheduled shift and to complete their assigned work shift according to the responsibilities of their position.

This position works standard business hours but may require overtime and some weekend work.

Travel:

No travel is expected.

Salary Range: 

$18.00 - $21.00 per hour
